Why customers ghost your quotes — and the follow-up system that fixes it

Customers rarely ghost because the price was wrong — they ghost because they’re unsure, waiting on a partner, or simply forgot. A four-touch follow-up over 14 days (day 1, day 3, day 7 and expiry) revives a meaningful share of quiet quotes, and it works best when the follow-up lands at the moment they’re re-reading the quote.

Why customers actually go quiet

When a quote gets no reply, operators assume “too expensive”. Usually it’s one of these instead:

  • They didn’t understand the value. They can’t tell your soft wash from the cheap blast-and-go, so they’ve stalled rather than choose.
  • Price shock without context. The number arrived alone, and alone it looked big.
  • They’re waiting on a partner. The job’s approved by committee at the kitchen table, and your quote is sitting in that queue.
  • They’re collecting quotes. Yours arrived first and is quietly waiting for a comparison.
  • They forgot. No urgency, busy week, gone.

Day 1 — confirm and open the door

Day 3 — add value, don’t nag

Day 7 — ask directly, offer an easy out

schedule fills. Want me to pencil in a date?

Day 14 — close at expiry

Hi [name], your quote expires Friday — after that
I'd need to re-price it. If you want the [$X] held,
reply YES or grab a date here: [booking link].
Either way, thanks for considering us.

After the expiry touch, stop. Mark it closed, and drop them into a polite re-quote list for next season — roofs regrow, and the operator who follows up in spring usually gets the job nobody else remembered.

Send the follow-up while they’re looking

The cadence above is the floor. The ceiling is timing: a customer re-opening a quote is the single strongest buying signal you’ll ever get — they’re standing in the kitchen deciding right now. A call or text inside that window converts at a completely different rate to one fired on a schedule.

When should I mark a quote as lost?+
