The roof cleaning quote template that closes jobs

By the Regnumo team · Updated

A roof cleaning quote should include nine things: your identity and trust markers, the customer’s property, a plain-English scope, your method, itemized pricing, proof, a guarantee, an expiry date and one clear way to book. Below is a copy-paste template with all nine — and the reason most quotes lose anyway: they arrive as a bare number.

The 9 parts of a quote that closes

  1. Who you are. Business name, face, license and insurance up front — trust before price.
  2. Whose roof it is. The customer’s name and address. A personalized quote reads as considered; a generic one reads as mass-produced.
  3. What you found. One or two plain-English sentences: what’s growing on their roof and what it’s doing to the surface.
  4. What you’ll do about it. The method, and why it’s the right one — soft wash, low pressure, growth killed at the root, safe for their surface.
  5. Itemized pricing. Each line of work with its price, then the total. Line items make the total feel earned.
  6. Proof. Before-and-after photos of similar local homes. This is the trade where results photograph beautifully — use that.
  7. The guarantee.Whatever you genuinely stand behind, stated plainly, next to “licensed & insured”.
  8. An expiry date. An open-ended quote is a someday quote. Fourteen days is fair and honest.
  9. One next step. A single obvious action — book a date. Not “let me know your thoughts”.

Here’s the full structure as plain text. Swap the brackets, delete what doesn’t apply, and keep the order — it’s sequenced to build trust before it shows the number.

Why a number in a text loses winnable jobs

Most exterior cleaning quotes still go out as “Hi Sarah, roof clean would be $850, let me know”. The customer now has two quotes in their messages: yours at $850 and someone else’s at $250. Nothing in either message explains that one is a proper soft wash by an insured operator and the other is a pressure blast that voids roof warranties. So the customer does the only comparison available — the number — and the better operator loses.

Then there’s the kitchen-table test: almost every job over a few hundred dollars gets discussed with a partner before it’s approved. Your quote will be forwarded, and it has to do the selling in that conversation without you. “$850 — the guy seemed nice” loses at the kitchen table. A document that shows the problem, the method, the proof and the guarantee wins it.

From template to quote page

The template above fixes the content. The remaining gap is the format: text and PDF can’t show a video, can’t tell you the quote was opened, and make booking a separate chore. That’s the gap a personalized quote page closes — the same nine parts, plus a short video of you explaining the job, open and video-watch tracking so you know exactly when to follow up, and a booking button where “next step” used to be.

That’s what Regnumo does with the quotes you already write — including ones synced straight from ServiceM8, Jobber or Tradify. And if you’re not sure the number itself is right, start with the pricing guide.

Frequently asked questions

What should a roof cleaning quote include?+

Nine things: your business identity with license and insurance, the customer’s name and property, a plain-English description of what you found, the method you’ll use and why it’s safe, itemized pricing with a total, before-and-after proof, a guarantee, an expiry date, and one clear next step such as a booking link.

How long should a quote stay valid?+

Fourteen days is the sweet spot for exterior cleaning: short enough to create honest urgency, long enough for the customer to talk it over at home. Tie it to something real — your schedule filling or seasonal demand — and hold the line.

Should I send quotes by text, email or PDF?+

The format matters more than the channel. A bare text is fastest but sells nothing; a PDF carries detail but dies on phones and tells you nothing after you hit send. A link to a personalized quote page works in any channel, educates the customer, and shows you when it’s been opened.

Should I show line items or one total?+

Both. Itemize the work so the total feels earned, then show one clear total including tax. Line items also make it easy for the customer to say yes to more — gutters and the driveway get added when they’re visible as lines, not when they’re buried in a lump sum.
